St George’s Hill Golf are looking to recruit a Full Time Membership and Office Secretary to support the existing team. The applicant must have proven attention to detail, administrative skills, be personable, discreet and preferably understand the workings of a private members club. St George’s Hill is a busy Club with over 900 members and many visiting golfers; multi-tasking is essential to succeed in this role. Job Summary: Membership & Office Secretary The Membership & Office Secretary’s primary roles are:
To provide membership support to all members, including general correspondence, member service needs, membership account administration and new membership applications.
To complete the annual subscription renewal process.
To support both Captains and Committee Members with administrative tasks.
To deliver outstanding Club events with the support of the front of house service team.
To support the Office Team with all administrative duties. The Membership & Office Secretary will:
Report to the General Manager.
Complete daily tasks as required by the General Manager and Office Team.
Be the first line of communication for all members, including emails and phone calls.
Develop a complete understanding of membership classifications, fee schedules, Club By - Laws and the Club in general.
Manage and maintain the weekly operating management sheets.
Complete follow-ups with members and visitors who have hosted events at the Club.
Understand the needs and culture of a private members’ Club.
Focus on the highest standards of customer service.
Maintain and update all working spreadsheets for the membership application process and subsequent applications.
Processing of new member applications. Processing of membership status change requests. Processing of resignations from membership.
Support in the production of meeting papers, AGM papers, members share allocation lists, membership nomination forms and membership invoices.
Manage the online (Intelligent Golf) membership platform, keeping it up to date and correct at all times.
Follow-up on all telephone and internet inquiries regarding prospective members.
Offer support for in-house social functions.
Perform other duties as directed by the General Manager.
Skills Required:
The successful candidate must be fully computer literate with proficiency in Microsoft Office, specifically Word, Excel and Power Point.
Golf Industry experience preferable, although this is not essential.
Experience with online membership platforms, specifically Intelligent Golf, but other experience will transfer.
The candidate must be organised, detailed and personable. Remuneration: The successful candidate will receive a competitive remuneration package to include:
Annual salary commensurate with experience.
A Club pension contribution above the legal minimum.
Death in Service Insurance.
A percentage of the annual staff member contribution fund.
Meals whilst on duty.
And, if a golfer – access to the courses at the discretion of the General Manager. Role Specifics:
The position is full time, with a minimum of 40 hours a week required by contract, based on site at St George’s Hill Golf Club.
Predominantly the role will be 9.00am to 5.00pm, Monday to Friday – although some weekend and out-of-hours work may be required.
For the right candidate, training will be provided for all areas of the role that is required.
Days in Lieu will be accrued for work any weeks where a sixth day is worked.
